Why should I hire an A/V company for my virtual event?

December 10, 2020 Synergetic About Us

I was asked a good question the other day, “Why does someone need an AV company for a virtual event?”. In the last 9 months, I have never been asked that question. I’m guessing people just assumed they would call an A/V company, like they would for any other kind of event. I wanted to make sure I spent some time answering that question thoroughly, so that you might be able to see the benefits of partnering with an A/V company for your next virtual event.

Here are some of my top reasons:

Time

You have a job to do. And that job probably doesn’t allow you the time needed to manage everything that’s required for executing a virtual event. You are probably part of a department of 1 or 2 people, and time just isn’t on your side. A professional A/V company with the right experience is going to allow you to continue to do your regular job, while they manage executing your virtual event. We have a team of project managers and technicians available right now to help you. And when you partner with us, you get all of them on your team. Our past customers have appreciated all the things we did to give them more time to focus on their regular job.  You may be surprised to know that our average project manager is spending over 80 hours per virtual event.

Experience

If you select the right A/V vendor, the experience they bring to the table will give you better outcomes. An experienced A/V vendor will be able to offer you options that you hadn’t thought about and be able to offer you different perspectives on virtual events. We have done over 150 virtual events since April of this year and can offer you a wide range of options to deliver the outcome you are looking for. Our client comes in thinking they have to execute their event a certain way, and after talking to us for 30 minutes, they are relieved to learn about other options that provide creativity and alleviate some of the stress.

Equipment

The proper equipment can give your viewers a much better experience. From something as simple as adding graphics, to using our professional stage studio, if you choose an A/V vendor with professional equipment, you will have a lot of options to make your event look better, and stand out from the rest. You may be surprised to learn some of the best virtual events you have attended have required as many as 10 laptops to execute!

Support

You are going to have a lot of questions that are going to need responses quickly. A good A/V provider will be able to answer the phone when you call and talk in a way that makes it easy for you to understand. You are going to call 2 or 3 times a day and e-mail even more. Having a team you can contact at any time, no matter what time of day it is, will be vital to a successful virtual event. We have been on calls at 1am in the morning for a virtual event that is set to start at 7am.

Knowledge

Virtual events are still a relatively “new thing”, and many professionals are still learning how to make them successful. The right A/V company has done unparalleled amounts of research and put in hours and hours of time to be able to offer you the best solutions. You will want to tap into that knowledge so you can be more confident and less stressed about planning your virtual event.

You don’t have to go this on your own. A good A/V company is going to ask you the right questions from the start and make you comfortable with producing events in the virtual format successfully. A company like Synergetic prides itself in having your back.
